Can youth data entered be viewed by other agencies? Does entering data mean that youth have a criminal record?
No. Even though the Juvenile Case Management System (JCMS) is housed within the Nebraska Criminal Justice Information System (NCJIS), it is not accessible to outside agencies such as courts or law enforcement, just as JCMS agencies do not have access to law enforcement databases. These databases do not communicate with each other and are not linked in any way. They are only related in that they are housed within the same parent information system for purposes of data security.
I'm having certificate or login issues on JCMS. Who should I contact?

How do I save data that I enter into the JCMS?
After the initial “save” button to create a new client, data is automatically saved into the JCMS as you type, if it is entered correctly. The JCMS won’t catch typing errors or misspellings, but it checks to make sure the data is the correct type of information for that box.
A red box indicates that the information entered into a box is incorrect. For example, if you input “ABCD” into the ZIP Code box, the box will turn red until you change it to numbers. After the box turns green, it is saved into the JCMS. However, if you make a mistake while putting ZIP codes into the box (such as 68520 instead of 68502), the JCMS will not catch that, and the box will remain green.
Boxes will also turn red if those variables are required, if the boxes are left empty. Because the JCMS does not catch typing errors, please make sure to double-check that phone numbers, birth dates, etc. are correctly entered.
I clicked “save” while creating a new client profile, and the case type disappeared in the JCMS. What do I do?
After a new client profile is created in the JCMS, the case type information will disappear from the screen and reappear as a tab right above the Intake box. The “Referral/Event Date” field also populates into the Intake section.
What is a missing data report?
These reports are intended to help you identify the youth profiles that are missing information needed for us to complete our evaluations. Missing data reports are distributed quarterly from the Nebraska Crime Commission. After you receive your report, please go back and fill in as much of the missing information as you are able.
If there is some reason that you are not able to enter this information, please contact JJI to let us know. Additional information about how to read the missing data reports can be found on the programs home page.
I did not serve any new youth this quarter, but continued to work with youth who were in the program before the quarter. Do I need to indicate this somewhere?
Yes. JJI staff cannot see the individual data that you enter into the JCMS; we can only see aggregate counts of referrals and discharges by specific timeframes, as well as the number of cases that are open (i.e., do not have a discharge date entered).
If you are not taking new referrals, but continue to serve youth and update their profiles in the JCMS, please note this in your narrative. Otherwise, if looks to us like you have not entered youth data for the quarter.
I have a question about funding or a grant submission.
All questions about funding and/or grant submission need to be directed to the Nebraska Crime Commission.
How do I delete a youth’s case in the JCMS?
Youth profiles can only be deleted under certain circumstances (e.g. duplicate entry, incorrect case type). If this occasion arises, type “DELETE” in the field “File Number.” Notify JJI with the Client ID number of the case(s) that need to be deleted, what program type these youth are in, and why they need to be deleted. How do I enter data for a returning client?
If a youth who was previously served returns to the same or a new CBA-funded program, follow the instructions in this tutorial.
How do I delete a required variable in the JCMS?
As required variables cannot be deleted once they are entered, if a field needs to be deleted, please notify JJI with the Client ID, which fields need to be deleted, and why.
